Job Advert Role Description

We are looking for an experienced individual to provide a comprehensive secretarial service to two consultants.

Day to day duties will include, but are not limited to:

 

  • Providing efficient and effective secretarial support to an individual/or multiple part-time consultant(s), or a department, including proof reading of typed letters, telephone enquiries, diary management, meeting and greeting patients and other administrative tasks as appropriate including carenotes, salesforce, and Income Processing – patient billing.
  • Recognising the level of importance of particular enquiries, issues, or callers and applying the appropriate prioritisation to ensure the highest level of service.
  • Ensuring that all documentation is correctly filed, in order that financial, regulatory, and other auditors can be satisfied via the efficient recovery of key documents of initial entry.
  • Updates patient details within Priory database systems (Carenotes/Salesforce/Income Processing), ensuring accuracy of all data input.
  • Handling of all external and internal enquiries relating to the individual or department, directing queries as appropriate.
  • Organising and prioritising own work within established procedures but refers more complex issues to department manager.
  • Where required, medical secretaries are to provide onsite administrative support for visiting consultants which will include Carenotes updates and salesforce referral management.
  • Supporting the appointed Medical Records secretary to undertake Subject Access Requests (SARs) in a timely manner.
  • Provide relief cover of fellow team members during annual leave/sickness.
  • As part of the role, a medical secretary will be required to follow site archiving processes.
  • All Medical secretaries will need to work within a paperless environment.
