Job Advert Role Description

Reporting to the Centre Manager, the Deputy Manager oversees the administration team, ensuring smooth, efficient operations across all administrative functions, including diary management, billing, patient records, and reception services.

Key Responsibilities:

  • Manage diary scheduling, appointments, and room coordination
  • Oversee referrals, waiting lists, and maintain Salesforce records
  • Handle patient records, billing, financial tracking, and complaints
  • Lead and support the admin team, including training and onboarding
  • Ensure reception is always covered and maintain front-of-house standards
  • Liaise with clients, manage correspondence, and support therapy staff
  • Maintain compliance with data, audit, and company procedures
  • Monitor feedback and support service promotion efforts

Requirements:

  • Minimum 1 year in a customer-facing admin role
  • Prior team management experience is essential
  • Knowledge of healthcare environments
  • Strong communication, IT, and organisational skills
  • GCSEs (A-C) or equivalent, with good office software proficiency
